Job description

To work closely with the Senior Manager: Human Capital Management: Resourcing to provide administrative support to ensure resourcing needs of the University are met. The coordinator is responsible for leading and guiding the Resourcing Officer and Administrators with specific areas of recruitment, to ensure efficient and effective service delivery in accordance with the HCM Service Charter. The Human Capital Management Resourcing Coordinator is also required to assist the Senior Manager: HCM Resourcing in the development of the proactive sourcing processes to attract and maintain relationships online to proactively fill the talent pipeline. This includes sourcing strategies and process implementation.
 
Responsibilities: 
 
Supervision of Resourcing Officers:
 
  • Setting weekly recruitment targets in line with SLA and tracking performance.
  • Quality assurance of all administrative related documentation drafted by the Resourcing Officers.
  • Effectively manage queries and proactively resolve according to the HCM Service Charter.
  • Ensure that all functional areas within the resourcing process are managed optimally.
  • Ensure that vacancy management is accurate, and the associated tracking sheet is updated on a weekly basis.
  • Contribute to the performance contracts of the HCM Resourcing office employees.
  • Guide the Resourcing Officers to carry out their roles effectively and efficiently.
 
Governance, Compliance and Risk Management
 
  • Ensure compliance to the HCM Resourcing Policy.
  • Ensure consistency of processes and methodologies are implemented.
  • Updated vacancy management tracking and reporting.
  • Identify outdated documents in the HCM Resourcing environment that could potentially pose a risk to the Resourcing environment.
 
Recruitment
 
  • Assist with the recruitment of positions and the associated administrative tasks, i.e. drafting of long list matrix, invitation of selection panels, venue bookings, travel arrangement, or any other associated duties.
 
Posting Adverts

  • Ensure that all adverts are aligned to job profile.
  • Review position requirements and align to advertisement platform/s that will yield talent.
  • Advertising on various media platforms, including websites and utilization of social media.
 
Administrative duties:
  • Attend structured meetings with Senior Manager: HCM Resourcing.
  • Assist the Senior Manager: HCM Resourcing with projects.
  • Monitor and liaise with service providers to ensure Portal systems supports admin processes and procedures.
  • Maintain a database of People with Disabilities (PwD) and ensure inclusion in our resourcing process.
  • Provide feedback to HCM Resourcing team regarding position management for distribution to HCM Business Partners.
  • Compile and coordinate all relevant documentation for Foreign National appointments (Work Permits, Permit Extensions, Permanent Residency Permits, etc.).
  • Liaise with candidates and give the necessary guidance on documentation required for the application of Work Permits, Extension and Permanent Residency Permits.
  • Liaise with the UJ Internationalisation office and external service providers on guidance in relation to Work Permit related queries.
  • Track progress of Work Permits/Permanent Residency Permit applications with relevant stakeholders (Candidate/ UJ Employees or service providers).

Client Relations:
  • Ensure the highest level of customer centric focus is maintained within the HCM Resourcing Unit in providing services to internal and external clients.
  • Resolve queries from clients timeously and escalate matters that require management intervention.
  • Disseminate accurate, efficient and coordinated Recruitment information to HCMBP’s, UJ community and external customers.
  • Adherence to Service Level Agreements.

Minimum requirements

  • A Diploma in Human Resources (NQF 6)
  • A minimum of 3-5 years Resourcing experience
  • A minimum of 2 years’ experience of being a team leader/supervisor within a recruitment environment
  • Proven experience at stakeholder management at every level.
 
Competencies and Behavioural Attributes:
  • Proven knowledge of employment legislation particularly with regards to recruitment.
  • Strong communication skills, both written and verbal.
  • Good attention to detail.
  • Good MS Office skills in particular Excel.
  • Good problem-solving skills
 
 Recommendations:
  • Higher education experience would be an advantage.
  • Experience in alternative recruitment methods such as social media, headhunting, etc.
  • Experience in bulk recruitment and targeted searches on LinkedIn
