Job description

  • Source goods and services and obtain quotation/s from service providers in accordance with Policies and Procedures
  • Evaluate quotations/approvals received from suppliers in accordance with Policies and Procedures and select the cost effective alternative
  • Negotiate prices and/or contracts with suppliers
  • Prepare and raise purchase orders on ERP system in line with final negotiations with selected suppliers and in line with organisational targets and requirements
  • Assists internal and external customers by interpreting laws, policy, codes and regulations pertaining to Supply Chain processes
  • Take responsibility for procuring required goods or services
  • Assist Warehouse and Distribution Centre (Receiving) and Accounts Payable with resolving quality, delivery, price and/or invoice issues
  • Maintains records in accordance with established policies and procedures and audit guidelines
  • Resolves conflict concerning goods or services at the end-user and vendor levels
  • Coordinates returns/repairs of products to suppliers
  • Monitors changes, modifications and technological advances that affect the purchasing of goods and services utilised by the university
  • Maintains cooperative working relationships with vendors to stay current with trends and technologies, products and services
  • Answers inquiries both orally and in writing concerning office operations
  • Provides training to staff on procurement procedures
  • Ensures that customers’ expectations and requirements are met  
  • Maintains clear and timeous communication of any changes that might affect end-user on the delivery of goods and services
  • Obtain mandatory supplier vetting documentation for the registration of new supplier/s as and when required
  • Prepare reports and updates as and when required
  • Expedite orders until full completion

Minimum requirements

  • Diploma in Procurement, Purchasing, Logistics or Supply Chain related qualification (NQF6)
  • Minimum of 3 to 5 years’ experience in Purchasing
  • Knowledge procurement principles and practices
  • Must have a good working knowledge of ERP systems of which Oracle would be preferable
  • Extensive computer literacy (Microsoft Office suit)
  • Knowledge of relevant legislative requirements (e.g., BBBEE, PPPFA, VAT Act, etc.)

  • Good interpersonal relations and a client-service orientation
  • Integrity and high ethical standards are non-negotiable
  • Strong negotiation skills
  • Proficient understanding of the Procurement processes
  • Previous experience as a Buyer in the Procurement Function
  • Oracle experience of the Purchase Order module
  • Keen attention to detail and accuracy, including figure-work
  • Excellent communication skills, verbal and written
  • Able to manage time effectively, prioritise tasks and achieve set targets
  • Able to function well under pressure and handle emergency and stressful situations
  • Self-motivated
