Job description

The Faculty of Science prides itself in its vibrant, dynamic and diverse scientific community of scholars who are passionate about enhancing the learning experience of students, enhancing the research profile of the Faculty and enhancing the academic, social and economic impact of the Faculty’s teaching and research programmes

Responsibilities:

• Coordination of academic quality structures and processes in the Faculty.
• Advisor and administrator for the development and introduction of new programmes/qualifications, as well as for changes in respect of existing programmes/qualifications, and the related applications process for approval and or accreditation.
• Management and administration in respect of programme matters involving external entities such as the CHE, SAQA, DHET, and professional bodies.
• Ensuring alignment between Faculty policies, academic rules and regulations with those of the University.
• Coordination of programme, module and related quality reviews in the Faculty, as well as the provision and / or the processing of relevant data for such reviews.
• Representation of the Faculty on relevant committees (e.g. Programme Working Group)
• Coordination of academic meetings with Faculty of Education and Faculty of Engineering
• Secretariat of the Faculty Programme Committee and the Faculty Teaching and Learning Committee, including the planning and arranging of meetings for such committees as well as for the other functions such as the First Year Experience;
• Monitoring and analysis of, and reporting on academic statistics, as well as the provision and / or processing of data as and when required within the Faculty Office or by the departments.
• Coordination and monitoring of student enrolment planning, including working with the prevailing enrolment planning model for the purpose of preparing documents and reports, files and databases.
• Maintaining or relevant documents, files and databases;
• Monitoring of student performance and coordination of interventions to improve student performance within the Faculty on an ongoing basis.
• Management, and related administration of the process involving the allocation of warning and deregistration results codes to students based on their academic performance, including the appeals process.
• Managing the process with regards to the F7/7F students within the Faculty in collaboration with relevant faculty structures.
• Managing the process with regards to the E1/E2 and E4/E5 students within the Faculty in collaboration with relevant faculty structures.
• Provision of counselling and academic support to students regarding their academic studies.
• Managing changes to the Faculty’s rules and regulations as contained in relevant documents / booklets and affecting such changes in the documents / booklets, as well as arranging for the formatting and printing thereof.

Minimum requirements

• A relevant Master’s degree
• Postgraduate qualification (NQF 8) with 6 years relevant experience at senior level in Faculty administration.
• Knowledge of the process with regards to F7 students.
• Experience in minute-taking, writing agendas and arranging meetings.
• Extensive experience in a Higher Education Institution including the management of student data and HEMIS reporting.
• Previous experience as Snr Faculty Officer (or Head of Faculty Admin would be an advantage).
• At least 7 years’ extensive ITS experience in all life-cycles pertaining to academic administration.
• A qualification and extensive experience in Project Management
• Proven management experience and expertise in a multi campus environment.
• Working Knowledge and understanding of the relevant statutory body requirements (DHET, SAQA, CHE).
• Proficiency in English.
