Job description

To perform executive, administrative, and secretarial duties in the Senior Director’s office and act as a first line of contact to internal and external stakeholders.
 
Responsibilities:
 
  • Manage the Senior Director’s office and to act as first line of contact to the stakeholders, staff etc. in a professional manner
  • Administer procurement of operational and capital items to enable efficient functioning in the Senior Director’s office
  • Keep abreast of new developments in the field and effectively apply it in the department
  • Maintain a trusting and open relationship with the other departments within UJ and other stakeholders regarding UJ Sport division’s operations
  • Ensure that documentation is kept safely and securely to maintain confidentiality
  • Extensive management of the Senior Director’s diary by organising the daily/weekly/monthly commitments and ensuring that all the commitments are honoured
  • Monitor procurement for staff teas, stationery as well as ordering of furniture, computers, and office equipment
  • Open, sort and group incoming mail, answer correspondence and prepares outgoing mail for dispatch
  • Facilitate and maintain the infrastructure to ensure a productive, safe, and secure environment in compliance with the relevant legislation
  • Develop and manage on-going monthly budget control for the Senior Director’s office within the department
  • Arrange travel and accommodation for the Senior Director for official business trips and conferences
  • Compile and administer relevant reports for various committees and forums
  • Draft, compile and submit monthly/quarterly and annual reports
  • Manage and administer finance and budget reports for the Senior Director’s office
  • Arrange and co-ordinate workshops, functions, conferences, etc. as per the Senior Director’s and the Department’s requirements
  • Ensure the work within the division is aligned to the university procedures, processes, and policies
  • Ensure that the departmental strategy and functions are aligned to the university’s strategic objectives
  • Arrange logistics for meetings, seminars, workshops, and other events
  • Compile agendas, registers, take minutes at meetings, disseminates and file for accurate record keeping
  • Ensure that the booked venues comply with the Occupational Health & Safety protocols
  • Build and maintain good and professional relationships with internal and external stakeholders
  • Act as a liaison between the division, departments, and the university

Minimum requirements

  • Relevant Qualification (Diplomas and Certification) (NQF 6), with 3 to 5 years’ job-related experience
  • Computer literacy (all MS Office packages)
  • Knowledge and understanding of university policies and procedures.
  • Administrative and clerical procedures and systems
  • Extensive diary management and scheduling
  • Knowledge of conference calls (international and local)
