Job description

The Council of the University of Johannesburg has declared the University as a mandatory vaccination site as per the applicable policy ((https://www.uj.ac.za/covid-19/). All applications and offers of employment is dependent upon compliance with the said policy.


The UJPS is a support structure to all postgraduate students and postdoctoral research fellows (PDRF’s). One of the areas in the UJPS mandate is the holistic life cycle support of PDRFs, that is, comprehensive support throughout their relationship with UJ. This includes the liaison with internal and external service providers and partners. The funding support section manages and administers bursaries and scholarship as well as PDRF funding from various funding sources (both internal and external funds).

Responsibilities:  
 
  • Provision of single point of access to Life Cycle support to approximately 200 PDRFs
  • Liaison and collaboration with all internal stakeholders in providing holistic lifecycle support to PDRFs, including, Finance, Faculties, Partners in Holistic Life Cycle support (internationalisation, SEC, Accommodation etc.),
  • Liaison and support to faculties, departments, and individual supervisors regarding PDRFs
  • Financial management and coordination of R44 million
  • Efficient allocation, award and replacement of fellowship and bursaries within the relevant procedures, processes, and policies
  • Post-Doctoral administration
  • Management of contractual processes including reviewing and renewal process
  • Reporting to funders, RCD and UJ Management
  • Compliance to Governance requirements
  • Audit facilitation.
  • Uniform and consistent application of procedures, processes, and policy regarding PDRFs
  • Verification and nominations of applicants
  • Filing and administration regarding PDRFs where needed
  • Arranging and coordinating meetings and events related to PDRFs
  • Arranging and coordinating workshops (internal and external) to various stakeholders
  • Liaison, networking, and relationship building with funders
  • Meetings and continuous support to the relevant stakeholders

Minimum requirements

  • Degree or - relevant qualification (NQF 7)
  • Postgraduate qualification will be advantageous
  • 3 to 5 years relevant experience within a tertiary environment working with Postgraduate students/post-doctoral fellows, academic and support stakeholders’ structures, systems, policies, and procedures.
  • 3 to 5 years relevant experience within a tertiary environment working with Postgraduate students/post-doctoral funding
  • Computer Literacy in MS Office and ITS/Oracle or similar
