Job description
- Handle all ad hoc tasks assigned by the Deanery and HCA.
- Ensuring timely, efficient, and accurate execution of UG selections using Perceptive Content, ARS, and the ITSstudent Database.
- Handle problems related to UG applications.
- Processing of UG transfer and Entering applications.
- Ensuring timely, efficient, and accurate execution of UG transfer and entering admissions.
- Responsible for UG registration.
- Ensuring timely and accurate execution of college administration, support and management.
- Ensuring consistent and precise compliance with relevant legislation (e.g., POPIA).
- Ensuring timely and accurate execution of administrative activities, duties and responsibilities.
- Ensuring timely, effective, and accurate execution of UG and UG annual result codes.
- Ensuring the balancing of zero percent Tests on ITS.
- Ensuring timely and accurate development and submission of academic structure.
- Responsible for the UG examination planning schedule.
- Responsible for capturing undergraduate marks and for processing mark change requests.
- Ensuring that globals, sick and special assessments requests are processed on time.
- Confirmation of students graduating with distinction.
- Responsible for graduation seating allocations on ITS.
- Co-ordination of CBE graduation process.
- Ensuring that the programme/system for the automatic allocation of global result codes is set up correctly and functioning properly to identify graduates.
- Ensuring that the splits are done accordingly to determine the number of potential graduates.
- Ensuring the potential graduates are being allocated to the specific graduation ceremony sessions.
- Ensure effective review and correction of potential student data integrity issues using HEDA and HEMIS systems.
- Processing of judicial decision outcomes in the ITS system, ensuring full compliance with institutional policies and decisions.
- Source all documentation pertaining to the lifecycle of the student.
- Act as custodian of the current students’ academic record.
Minimum requirements
- Degree or - relevant qualification (NQF 7)
- Two (2) to three (3) years' of job-related experience
- Minimum of five (5) years' experience in academic and student administration within a higher education institution
- At least two years' Supervisor experience

- MAMS Experience
- JASPER Experience
- ARS Experience
- Perceptive Content Experience.

- Sound knowledge of UJ academic regulations.
- Sound knowledge of Perceptive Content and ARS programmes
- Knowledge of the exam planning schedule
- Sound Knowledge of JASPER system
- Sound knowledge of ITS, MAMS, ARS and Perspective Content Systems.
