Job description

Finance Support Services Division has a vacant post for a Manager: Warehousing Distribution & Logistics.
 
Responsibilities:
 
  • Oversee all aspects of warehouse operations, including receiving, storage, picking, packing, hipping, and returns.
  • Develop and implement efficient warehouse layout and workflow processes.
  • Manage inventory levels, ensuring accuracy and timely reordering.
  • Monitor and ensure compliance with all safety and security regulations
  • Manage transportation and distribution planning, including carrier selection and route optimization.
  • Negotiate contracts with transportation providers.
  • Track and monitor shipments, ensuring timely delivery.
  • Analyze and improve distribution efficiency
  • Stay informed of industry trends and best practices in warehouse management.
  • Identify and implement opportunities for improvement in warehouse operations.
  • Collaborate with other departments, such as purchasing, sales, and marketing
  • Develop and manage warehouse budget.
  • Track and analyze warehouse expenses.
  • Prepare and present reports on warehouse performance metrics.
  • Determine contracts to be implemented in accordance with execution of outputs; or

  • Liaise with the relevant role players to ensure a common understanding and mutual agreement on delivery expectations.
  • Implement the agreement/contract deliverables in accordance with the agreed upon performance requirements.
  • Monitor the agreement/contract deliverables to ensure compliance and to detect possible deviances in performance pro-actively
  • Builds and maintains healthy relations with UJ internal and external stakeholders
  • Maintains healthy customer relations with Service departments and faculties
  • Manage people development in line with Institution- wide skills development strategy within the division/unit
  • Manage talent within the division/unit and ensure talent management strategies (attraction, retention, development) are implemented
  • Implement performance management within the division/unit in line with HCM Policies and Guidelines
  • Manage grievances, discipline and terminations within the division/unit in line with HCM policies and guidelines
  • Lead and direct staff within the division/unit to be able to meet the objectives set for them
  • Build and foster a culture of good governance, customer service, honesty and integrity and world class delivery in the division/unit
  • Implement innovative recognition and reward systems
  • Implement governance framework to ensure professional conduct by division/unit employees and upholding of UJ values and governance principles
  • Ensure good governance within the division in line with corporate governance guidelines and other related legislation
  • Manage compliance with legislation, regulations, UJ policies and procedures within the division/unit
  • Ensure compliance of the division with all audit requirements emanating from audit processes
  • Draft and submit annual, quarterly and monthly reports required or as delegated by the Supervisor

Minimum requirements

  • Bachelor’s Degree in Logistics, Purchasing and Supply Chain, Business Administration, or related field.
  • 5 years' experience in Supply Chain Management environment
  • At least 2-3 years’ experience of job-related experience
  • Experience working with ERP systems.
  • High degree of knowledge of Supply Chain Management Modules on various ERP suites
  • Knowledge of warehousing and distribution principles and procedures
  • Experience in a managerial or supervisory position.
  • Experience and knowledge of all MS packages (Word, Excel, Outlook and PowerPoint)

Recommendations:
 
  • Experience in the Higher Education sector and/or research sector is highly desirable.
  • Proven track record of success in improving warehouse efficiency and productivity.
  • Strong understanding of warehouse operations, logistics principles, and safety regulations.
  • Excellent leadership, communication, and interpersonal skills.
  • Ability to multitask and prioritize effectively.
  • Proficient in warehouse management software and Microsoft Office Suite.
  • Forklift certification (preferred)
Working conditions:
 
  • May need to travel as and when required
