The Johannesburg Business School, Centre for Entrepreneurship is actively recruiting for a Coordinator (Client Services) with excellent project management skills, including strong administrative, event, project and time management skills.
 
The incumbent is expected to integrate and coordinate the staff, clients, partners, students, projects and resources to run various projects. This will position the Centre for Entrepreneurship at the forefront of entrepreneurship education both on accredited and non-accredited short learning programmes. This will help achieve targeted revenue streams, maintain stakeholder relations and grow the portfolio of the Centre for Entrepreneurship.
 
The Client Services Coordinator will report directly to the Director.
 
Responsibilities:
 
Financial Management             
  • Responsible for general financial management and management of finances for projects.
  • Reconciling procurement expenses.
  • Identifying new funding opportunities.
  • Help in developing new funding applications.
  • Provide advice in financial processes and decisions.
 
Financial Administration          
  • Implement effective budget planning and management systems and budget monitoring mechanisms.
  • Financial reporting.
  • Manage and order supplies.
  • Manage reimbursements.
  • Manage procurement to enable efficient operation and timely payment of invoices.
  • Interfacing between the department and supply chain/procurement division.
  • Asset registry of all Departmental inventory
  • Contractual Mandate facilitation (MoA, MoU, SLA and NDA)
  
Event Management   
  • Planning and coordinating graduations, functions and conferences as instructed by the Director.
  • Coordinating of special events.
  • Liaising and coordinating with all relevant stakeholders.
 
Faculty Administration             
  • Faculty reviews and audits
  • Guide faculty on the learner management system.
  • Performing ad hoc tasks within Student Administration as determined by the Faculty Head: Administration from time-to-time.
  • Review learner guides and PowerPoint presentations from Faculty Members.
  • Admissions, Academic Structure and Web registrations.
 
General/Project Management/Administration    
  • Assisting the Director with reports (e.g., annual and stakeholder reports).
  • Adherence of HR policies and procedures in the department.
  • Appointment of temporary employees and independent contractors.
  • Report and escalate pending issues to management as needed.
  • Being a practical quick thinker to manage changes in project scope, schedule and costs.
  • Measure project performance using appropriate systems, tools and techniques.
  • Performing ad hoc tasks within the Department as determined by the line manager from time-to-time.

Minimum requirements

  • A Bachelor’s degree (NQF 7) in Communication, Marketing or Social Sciences, or a relevant equivalent qualification in related fields.
  • Certificate in financial management or equivalent financial knowledge.
  • More than 5 years operational- level experience in administration, preferably within a higher education environment.
  • Excellent administrative and project management skills
  • Event management skills, including planning and organising skills.
  • Excellent administrative, coordination and time-management skills
  • Advanced MS Office skills
  • Knowledge of Integrated Tertiary System (ITS).
  • Knowledge of Oracle, preferably temporary appointments, i-expense and IPROC.
  • Knowledge and experience in working with supply chain/procurement divisions.
  • Working knowledge of Public Finance Management Amendment Act
  • Working knowledge of Faculty Student Administration.
  • Ability to work under pressure and meet deadlines;
  • Ability to work independently and to participate effectively within team;
  • Accuracy and the ability to maintain confidentiality.
 
Recommendations:

  • More than five years’ experience in Student Administration;
  • Functional knowledge in the management of electronic records and finance systems would be an added advantage;
  • Experience working at the University of Johannesburg, with rich knowledge of it processes and policies.
  • Experience working and supporting senior management with task and duties.
  • An Honour’s degree in related field will be an added advantage.
  • Integrity and ethical standards.
  • Excellent team player, goal oriented and winning mentality.
