Job description
- Planning, directing, coordinating and performing a range of administrative tasks to ensure that the office and the department function effectively;
- Communicating with students, clients, employees and other stakeholders to answer questions, disseminate or explain information and address complaints;
- Performing organisational and administrative tasks effectively and timeously;
- Managing information relevant to the job in order for records to be kept up to date for future reference;
- Drawing up and distributing agendas and taking minutes in meetings for accurate record keeping;
- Computing, recording and proof reading data and other information such as reports, memos, etc.;
- Arranging and co-ordinating workshops, functions, conferences, meetings, etc.;
- Assisting with the Head’s efficiency by organising his/her diary and daily commitments and ensuring that his/her commitments are honoured;
- Coordinating the travel function in the department;
- Administering the procurement of operational and capital items on the Oracle system;
- Monitoring of and reporting on the departmental budget to the HOD;
- Capturing and recording appointments and claims on the Oracle system.
Minimum requirements
- A Matric/Grade 12 (NQF4).
- 3 - 5 years’ experience in administration in a higher education institution.
- Proficiency in Oracle and MAMS and exposure to HEDA.
- Proven experience and knowledge of Windows and MS Office packages.
- Knowledge of administrative and clerical procedures and systems.
- A relevant Higher Education qualification.
- Knowledge of relevant UJ policies, processes, functions and procedures.
- Superior verbal and written English communication skills.
- Proven computer skills at advanced levels.
- Good problem solving and numeracy skills.
- Outstanding interpersonal skills.
- Highly organised and efficient with excellent follow-through abilities.
- Ability to cope under pressure.
- A flexible and versatile team player who will work and excel in any work environment.
- Accuracy and attention to detail.
- Ability to work independently and maintain confidentiality.
- Reliability and integrity.
