Job description
- Leading an efficient, client-focused, one-stop Faculty Administration.
- Managing a team of Senior Faculty Officers, Faculty Officers, and general administration staff.
- Responding to a client base of approximately 190 academics and 9500 students in 15 departments, 2 technology stations and the Postgraduate School of Engineering Management (PGSEM).
- Planning the academic administration activities related to the life cycle of the student, both undergraduate and postgraduate.
- Facilitating and managing the enrolment planning and admissions processes in the University.
- Engaging in longer-term planning for the faculty, continuously scanning the academic environment for risks and opportunities bearing on administrative work of the faculty.
- Contributing to the faculty matters and assists the Deanery in formulating plans to manage or capitalise on these.
- Troubleshooting and responding appropriately to unforeseen circumstances within a Higher Education environment that is subject to change and uncertainty.
- Facilitating a preferred student experience in all student contact with Faculty Academic Administration.
- Ensuring legal compliance of Faculty Academic Administration. Guiding and advising academia and Deanery.
- Acting as custodian of the academic architecture, rules, regulations, policies and procedures of the faculty.
- Acting as liaison between various departments and the Faculty Administration staff.
- Overseeing extensive administrative tasks and the coding and capturing of transactions on the ITS system.
Minimum requirements
- Any undergraduate degree at NQF Level 9.
- 5-8 years’ experience in faculty academic administration in an academic institution.
- Problem-solving, initiative, decision-making skills. Team Player.
- Ability to learn, understand and apply policies and procedures.
- Computer skills including the ability to acquire skills as required.
- Proficiency in English.
- Post Graduate qualification will be an added advantage
- Proficiency in another South African language. Ability to learn and adapt.
- Management and leadership skills with a client focus.
- Ability to manage budgets/institutional finances to optimal effect.
- Knowledge of Faculty rules and regulations.
- Knowledge of UJ policies and processes.
- Knowledge of business processes.
