The Faculty of Education at the University of Johannesburg (UJ) is recruiting an Administrative Assistant to provide support to the Head of Faculty Administration. We invite applications for this position.
 
Job Description:
 
The successful incumbent will be responsible for (according to the needs of the faculty) a range of administrative projects associated to academic administration. The faculty has a home base at the Soweto and Auckland Park Kingsway campuses thus travel between the two will be expected.

Minimum requirements

  • Diploma/Advanced Certificate (NQF level 6)
  • A minimum of four years’ experience in managing/co-ordinating a wide range of administrative and executive support related tasks in a higher education environment.
  • Experience with committee administration.
  • Experience with preparing reports, analyzing information and completing database backups.
  • A minimum of two years’ experience in administration of student life cycles in a higher education environment.
  • Experience (at least 2 years) with the use of Oracle, Integrated Tertiary software (ITS), HEDA and Perceptive Content.
 
Recommendations:
 
  • Knowledge of and experience with bursary finance budgets and bursary allocations.
  • Extensive knowledge of UJ academic regulations, policies and business processes.
 
Competencies and Behavioural Attributes:
 
  • Advanced computer skills and proficiency in MS Office.
  • Excellent time management skills, ability to multi-task and work in a high-pressured environment.
  • Ability to work independently, exercise judgement, and maintain confidentiality.
  • Proven track record of working on successful projects, from conception to completion.
  • Demonstrate proactive approaches to problem-solving with strong decision-making capability.
  • Ability to coordinate meetings and appointments.
  • Ability to prepare and transmit correspondence often under tight deadlines, ensuring documents produced are error free and grammatically correct.
  • Excellent communication skills (written and verbal) with a high level of proficiency in English.
  • Social perceptiveness and the ability to handle conflict situations in a diplomatic manner.
