Job description

Responsibilities:

  • Ensure operational support with the execution of all events and activities at UJ sports facilities by following the correct procedures.
  • Collectively organise and manage all UJ sports facilities in conjunction with relevant UJ divisions.
  • Ensure compliance with sports federations’ regulations and legal requirements about facilities and events.
  • Strategic guidance for the development of UJ sports facilities.
  • Sport inventory management and updating.
  • Generation of 3rd stream income through the commercialization of, and marketing strategies of UJ Sports facilities internally and externally.
  • Booking and security management of all UJ Sports assets (movable and non-movable)
  • Proven record of accomplishment of delivering projects within defined timelines under high pressure.
  • Plan, schedule, track and report weekly link, floating, route, and access delivery against targets.
  • Effectively communicate project expectations to team members and line managers in a timely and clear fashion.
  • Manage Project teams and delegate tasks.
  • Renew Liquor Licences annually.
  • Identify and manage facility project dependencies.
  • Proactively manage changes in project scope, and ensure that any change to project scope is documented and approved.
  • Identify potential crises, and devise contingency plans.
  • Effectively allocate available resources and determine if additional resources will be required.
  • Manage project financials: forecast vs. actual.
  • Implement and monitor Risk Management Strategies to continually reduce risk to acceptable levels.
  • Identify, assess, prioritize, and manage project risks and issues.
  • Planning, designing, and implementing an overall risk management process for the organization.
  • Risk assessment, which involves analysing risks as well as identifying, describing, and estimating the risks affecting the University.
  • Risk reporting in an appropriate way for different audiences, for example, to the Members of the Executive Committee, so they understand the most significant risks, to business heads to ensure they are aware of risks relevant to their parts of the business and to individuals to understand their accountability for individual risks;
  • Ensure that all facilities have the relevant licenses (not limited to liquor licenses) including grading.
  • Quarterly report and update on the Risk Register.
  • Guide the structured provision of quality sports facilities for internal stakeholders on all levels – and on all campuses.
  • Plan and support the upgrading of sports facilities on the respective campuses,
  • Provision (training and competition) facilities for all Sports and social recreational events for internal stakeholders.
  • Managing Sports Facility Grading process to comply with Event and Facility legislation
  • Managing the booking process of facilities according to correct procedures and communication
  • Governance - Policy management
  • Future Facility Development Plan
  • Plan and Manage Facility Maintenance programs
  • Security - Ensure and monitor the security needs of all relevant role players to ensure stakeholder safety at all Sports Facilities and Events.
  • Monitor the arrangement of security for participants at sports facilities for all scheduled training and competition activities.

Minimum requirements

  • A relevant Degree qualification (NQF 7)
  • Minimum of 3 years' relevant experience in a Higher Education Sports Facility Management structure.
  • The ability to interpret market reports and develop market penetration strategies.
  • Relevant experience in managing a facility and operations portfolio in a university environment.
  • Risk management: experience in the identification, assessment, and management of project risks
  • Knowledge of the Occupational Health and Safety Act.
  • Project budgeting and reporting.
  • A valid driver’s license.

  • Knowledge of current and relevant Facilities, Project Management, and Technologies
  • Knowledge of database management

Recommendations:

  • Facility and Project Management exposure
  • Certificate/Diploma in Facility/and or Project Management
  • Space and asset management with reference to AutoCAD drawing.
