Job description

Oversight and coordination of the marketing and administration activities within the School of Consumer Intelligence & Information Systems. To provide administration and coordination support and act as a first line of contact between the Director of the School and other relevant stakeholders.
 
Responsibilities:
 
The incumbent will be expected to:
 
External Image Building:
  • Compile information and writing of newsletter schedule
  • Manage social media page (possibly LinkedIn as and when required.
  • Communicate with industry and alumni – email campaigns.
  • Coordinate and plan events (e.g. open lectures, conferences, industry events, open days, prize giving/s, CEP graduations, industry advisory boards, community engagement initiatives
  • Organise, sit in, and consolidate information on bi-annual
 
Internal Image Building:
  • Organise, sit in, and consolidate information as required
  • Communication to students (i.e. School events, important UJ info).
  • Communicate with staff (e.g. internal school events, news form director).
  • Staff functions/events for school.
  • Organise and manage the first-year orientation programme
 
Promotion of Programmes/Growing Enrolment Numbers:
  • Plan promotional campaigns in collaboration with departmental reps and college marketing manager.
  • Oversee execution of promotional campaigns within allocated budget.
  • Liaise with advertising agency and UJ design.
  • Priority order of programmes to promote (liaise with academic programme coordinators):
    o Masters.
    o Doctoral and post-doc.
    o CEPs/Online programmes.
    o BTech, Adv. Diploma and Hons.
  • Undergraduate liaising with College marketing committee on Open day planning and attending open day events/training of assistants for Open day events.
 
Marketing Coordination:
  • Develop annual marketing calendar (in collaboration with Marketing Manager).
  • Oversee and update annual marketing calendar.
  • Update and record keeping of promotional material (including learning guide designs, banners, flyers, programme brochures – electronic and printed).
  • Liaise with UJ design (for events and campaigns).
  • Assist with community engagement projects (work with community engagement coordinator and organise and coordinate community engagement events).
  • Write press releases for submission to UJ communications and website uploads.
  • Gather white papers/research snippets to post on social media page (from Dep reps).
  • Manage and update database for the School
  • Coordinate and plan events in conjunction with Department representatives.
  • Website updates.
  • Regular contact with Department Marketing representatives.
  • Consolidate information and address daily marketing needs for each department.
  • Attend departmental meetings.
  • Attend CBE marketing committee meetings.
  • Monitor competing universities and tertiary institutions with specific regard to programmes, online offerings, personnel, new developments, and advice Marketing Manager.
  • Liaise with UJ communications (UJ web and social media posts from school to share on public platforms).
 
Administrative Support:
  • Provide administrative support in the office of the Director.
  • Upload temporary appointments and ensure successful completion and payments.
  • Update the Schools asset register, with support from the assets department.
  • Liaise with clients and ensure all invoices are paid within the required timeframes.
  • Load claims on Oracle Requester System.
  • Request signatures for manual claims; petrol claims; overtime claims; and international new appointments and submit to HCM.
  • Liaise with students on programme related matters
  • Perform secretarial duties for the Director. 
  • Make travel arrangements (including flights, visas, etc.)
  • Coordinate and manage procurement of office supplies, equipment, and furniture.
  • Conduct research in preparation for key engagement and meetings.
  • Source, manage, disseminate information from and to appropriate people and departments
  • Ensure research partner interaction, including with relevant university, business, and government personnel
  • Compile and prepare relevant reports, presentations, and external communication for the Director of school.

Minimum requirements

  • Degree in Marketing, Public Relations, or Communication (NQF 7)
  • At least five (5) years' relevant marketing experience.
  • Three (3) to five (5) years' operational level experience in marketing and communication.
  • Proven event management experience.
  • Proven experience with digital marketing campaigns.
  • Proven knowledge of Oracle system and procurement processes
  • Proven knowledge of ITS
  • A valid driver's licence.

Recommendations:
 
  • An Honour's degree (NQF 8) in Marketing/Communication or relevant field.
  • Evidence of effective external engagement (academia, business community, professional boards, and wider society) is highly desirable.
  • Knowledge of university systems, structures, policies, and procedures.
  • Relevant work experience in a university environment.
  • Project management skills and experience.
  • Relevant work experience in any service-related industry (one to two years).
  • Fundraising experience.
  • Social media experience.
