Project Coordinator (P8) (Facilities Management: Central Technical Services)

Job description
- Attend client meetings and assist with determination of project requirements.
- Assist the PM in the drafting and issuance of project proposals, RFPs, tenders, budgets, cash flows and preliminary schedules.
- Prepare project organisation and communication charts.
- Chair site meetings and distribute minutes to all project team members.
- Track the progress and quality of work being performed by design disciplines / trade.
- Use project scheduling and control tools to monitor project plans, work hours, budgets, and expenditures.
- Effectively and accurately communicate relevant project information to the clients and project team.
- Ensure clients’ needs are met in a timely and cost-effective manner.
- Review field inspection reports from Consultants throughout the life cycle of the project.
- Maintain Contract Execution Track Log
- Assist the PM in the review of Contractor quotations to ensure that only fair and reasonable pricing is recommended for approval.
- Track and manage contemplated change notices and change orders in the database.
- Prepare substantial completion certificates and ensure all required project close out documents are obtained.
- Communicate ideas for improving company processes with a positive and constructive attitude, and for developing this attitude in others.
- Keep the Project Manager (PM) and others informed about project status and issues that may impact clients’ relations
- Develop, review, and continuously update risk register on projects.
Minimum requirements
- Degree with relevant qualification in Engineering, Construction Management, Architectural Technology, Quantity Surveying or Project Management (NQF 7)
- Two (2) to three (3) years of job-related experience
- Two (2) years’ experience supporting Project Managers in a project delivery environment.
- Three (3) years’ knowledge of the building development/ redevelopment industry
- Three (3) years’ experience with construction methods and the building codes and standards
- Effective communication skills including verbal and written.
- Proven ability to work effectively both independently and in a team-based environment.
- Demonstrated willingness to be flexible and adaptable to changing priorities.
- Strong multitasking and organisational skills

- Construction activity duration estimation and resource loading and smoothing
- Project activity network scheduling techniques (typically includes PERT, Critical Path, Critical Chain methods)
- Knowledge and Experience of the Occupational Health and Safety Act, and associated Construction Regulations
- Project Management Body of Knowledge (PMBOK) as developed and maintained by the Project Management Institute
- Registered as a Candidate Professional Project Manager with an accredited project management association (SACPCMP).
