Job description

The Department is searching for a dynamic, energetic, flexible and self-motivated individual to join it as its Administrative Assistant. The Administrative Assistant will be responsible for providing support to the Manager of Finances and operations through the provision of effective front-of-house and administrative support. His/her duties will include the following:

The incumbent will be responsible for providing financial and administrative support to the Head of Department of AIS regarding departmental finances and operations. 
 
Responsibilities: 
The incumbent will be expected to:
 
Financial Administration 
  • Manage the financial and procurement administration functions of AIS and EUC.
  • Provide accurate financial reports and expenditure versus budget reports within set deadlines to internal management.
  • Advise the HoD on all financial aspects and alert him/her in advance on any planned action that may have implications on eligibility of expenditure.
  • Manage the financial and provisioning of administration functions of continuous education programmes offered by thedepartment.
  • Maintain accurate registers of income and expenditure for all programmes and short courses offered by the department.
  • Effective and Efficient monitoring of departmental cost centres.
  • Effective and Efficient budget reporting of all functions headed by the department.
  • Maintain accurate registers of assets and equipment bought with AIS and staff research funds.
  • Advise the HoD pertaining to matters that have strategic and financial implications.
  • Liaise with the relevant role-players in the financial environment regarding transverse financial matters.
  • Liaise with external stakeholders and role-players regarding any third-stream income relating to the department.
 
Procurement and Temporary Appointments
  • Coordinate and manage the purchase of goods and services; preparation of requisitions and purchase orders within UJ policies and procedures.
  • Obtain quotes for work to be done from suppliers.
  • Order supplies (requisitions, Oracle), preparation of requisitions and purchase orders within UJ policies and procedures.
  • Control of the storeroom.
  • Stock control and orders for store cupboard, stationary, refreshments and paper.
  • Check supplies for reordering.
  • Complete, submit and follow up of appointment and claim forms.
  • Providing administrative support in terms of staff, students, student assistants, tutors and temporary staff members.
  • Complete, submit and process various claims.
  • Managing areas related to procurements and purchases.
  • Obtain quotations and order stationary, books, materials and equipment from suppliers.
  • Perform administrative duties concerning the provision of equipment and facilities for new appointments in the department.
 
Travel Arrangements
  • Effective and Efficient administration and coordination of travel arrangements for departmental staff. 
  • Arrange travel, flights and accommodation for staff Local and international travel. 
  • Process payment requisitions.
 
Staff Research Entities
  • Keep accurate record of staff research entities. 
  • Produce regular reports for staff members pertaining staff research entities.
 
General Departmental Administration
  • Assist with the effective functioning of the office of the HoD for Applied Information Systems by performing secretarial and administrative duties in the absence of the Departmental Secretary.
  • Perform any other work-related duties and responsibilities that may be assigned by the HoD.

Minimum requirements

  • A relevant diploma in Financial Management/Accounting or similar (NQF 6)
  • 4-5 years' of experience in financial management/coordination
  • At least 3 years' of experience in financial management/coordination within Higher Education
  • Proficient in Microsoft Office MS Word, Excel, Outlook, and PowerPoint
