Job description


Responsibilities:

• Effective Management of the Executive Director's office, and to act as first line of contact to internal and external stakeholders in a professional manner.
• Manage and resolve the day-to-day queries and escalate where necessary.
• Communicate with the public, employees, and other stakeholders to resolve queries/issues, and disseminate information and address complaints where possible.
• Arrange travel and accommodation for the Executive Director and team for official business trips and conferences (local and international).
• Compile agendas, registers, take minutes at meetings for accurate record keeping.
• Arrange and co-ordinate workshops, functions, conferences, etc. as requested from the Executive Director’s office.
• Keep abreast of new developments in the field and effectively apply learnings in the Department.
• Ensure that documentation is kept safely and securely to maintain confidentiality.
• Extensive management of the Executive Director's diary by organising the diary/daily commitments and ensuring that all the commitments are honoured.
• Ensure effective planning and organising of tasks in the office of the ED.
• Manage procurement of operational items to enable efficient operations and timely payment of invoices.
• Open, sort and group incoming mail, answer correspondence and prepare outgoing mail.
• Facilitate the maintenance of infrastructure to ensure a productive, safe, and secure environment in compliance with the relevant legislation.
• Ensure effective and responsible correspondence and adhere to the Service Level Agreements (SLA).
• Assist with drafting and compiling presentations.
• Perform ad-hoc duties as and when required.

Minimum requirements

• Secretarial Diploma/Certificate or equivalent qualification (NQF level 6).
• 3 - 5 Secretarial experience at an executive level (tertiary environment will be an added advantage).
• 3 - 5 years Administrative and budgeting experience.
• Computer literacy (all MS Office packages).
