Job description
“Please note that the University is obligated, in terms of recent amendments to the Criminal Law (Sexual Offences and Related Matters) Amendment Act 2021 (Act 13 of 2021), to assess all prospective employees (including applicants) against the National Register for Sex Offenders (NRSO). The outcome of such an assessment may have an impact upon possible employment with the University.
To perform administrative and office assistance to the management team. The department renders a UJ Vehicle Fleet Service to all Campuses – with internal fleet, departmental vehicles, and external rental companies.
Responsibilities:
- Providing administrative assistance to the Department’s management including the Director.
- Provide administrative duties to management within the department including calls and diaries.
- Accurate and timeous meeting minutes /documentation.
- Prompt and efficient handling of telephone calls, incoming and outgoing correspondence.
- Ensuring enquiries and queries are handled timeously.
- Arranging weekly and monthly meetings, as and when required.
- Draft the agenda, take and circulate minutes.
- Responsible for filing and reports, stationery, monthly budget reports etc.
- Handle queries.
- Loading of I-Proc’s timeously.
- Ensuring that the required beverages are always stocked and available.
Minimum requirements
- A National Diploma in Transport, Logistics, Supply Chain or Operations Management (NQF 6).
- Three (3) to five (5) years of job-related experience.
- Three (3) to five (5) years’ experience in the logistics environment handling fleet.
- A valid code 8 driver’s license.
- Must be computer literate in MS Office and Visio.
- Knowledge of Typing reports, contracts, letters, memorandums, in MS Word.
- Knowledge of electronic and hard copy recordkeeping.
- Knowledge of data recording and analysis reporting.
Recommendations:
- Working experience with Oracle system.
- Knowledge and experience in Transport and Vehicle Fleet operations, with the other tasks listed in a similar Higher Education environment or in the Private Transport Fleet environment sector is an added advantage.

- Excellent written, verbal, listening and interpersonal communication skills.
- Ability to work under pressure towards a deadline.
- Working cooperatively in a teamwork environment.
- Being reliable, responsible, and punctual.
- Fluency in English (written and spoken).
